Approving Email Integration (Microsoft 365/Outlook)

When users connect their Outlook inbox to Robin, many organizations require approval from a Microsoft 365 administrator. This article explains which email permissions Robin needs, why they’re required, and how to approve the integration.

🔎 Why is permission needed?

Robin uses the Microsoft Graph API to enable email functionality. For this, a Microsoft 365 administrator must grant permission on behalf of the organization. Robin only requests the minimum permissions required to safely send and display emails.

📧 Which permissions does Robin request?

Robin only requests the permissions strictly necessary for safe and reliable email communication:

  • Mail.Send to send emails from the user’s business email address.

  • Mail.ReadWrite to display Robin‑sent emails in Sent Items, without accessing any other mailbox content.

  • offline_access to stay connected without requiring users to log in repeatedly.

🛡️ Important to know

  • Robin only processes emails from candidates who exist in Robin.

  • Other mailbox content is not read or stored.

  • All data streams are encrypted.

  • Robin is accepted by Microsoft as a secure integration partner.

⚙️ How does the integration work?

Users connect their inbox themselves through the settings in Robin.

In many organizations, admin consent is required within Microsoft 365.

Once the integration is active, Robin can:

  • send emails on behalf of the user

  • display Robin‑sent emails in Sent Items

  • stay connected without requiring repeated logins

✅ How to grant admin consent

  1. Log in as a Global Admin or Application Admin in the Azure AD Admin Portal.

  2. Go to Enterprise Applications.

  3. Search for Recruit Robin.

  4. Open the application and go to Permissions.

  5. Click Grant admin consent and confirm.

After this, users can connect their inbox through the settings in Robin.

⚠️ Common issues

  • User does not see a pop‑up Check whether user consent for apps is disabled. Temporarily enable it or grant admin consent yourself.

  • Request gets stuck Often admin consent has not yet been granted or the request is blocked by an organizational policy.

  • Security policy blocks Robin/Nylas Add Robin/Nylas as a trusted application within your organization’s policy.
