Want to source candidates via Indeed in the Robin app? Great news!
We’ve introduced a new way of working to make sure everyone can get the most out of the Indeed integration. This article explains how it works and what to keep in mind.
The Basics
🔁 First come, first served
When a user logs in to an Indeed account with an active subscription for the first time—and the account isn’t already assigned to someone else—the license is automatically assigned to that user.
🧾 What is an Indeed license?
An Indeed license represents an account with an active subscription. Once the subscription expires, the license is marked as expired in Robin.
🛠 Admin-only actions
Only Robin admins can assign or revoke licenses. This can be done in the user’s profile section within Robin.
🙋♀️ Requesting a license
Need a license? Reach out to your Robin admin. There isn’t an internal request button in the app (yet).
🔄 Updating license status
Robin can only update the license status after at least one user from your organization logs in to the Indeed account via the Robin browser extension.
⏳ Expired licenses
If the subscription has expired, the license will be marked as expired. To update the status, simply log in to the account again so Robin can retrieve the latest subscription data.
Different Scenarios
✅ You have an active Indeed account when the integration goes live
Multiple users, one license:
The first person to log in gets the license. Robin will show a pop-up confirming who the license was assigned to, including the email address.License was removed from your profile:
You’ll see a pop-up letting you know whether the license is available again, or how to contact your admin to request a new one.
🚫 You don’t have an active Indeed account when the integration starts
There are available licenses in your organization:
Robin will show a pop-up letting you know that licenses are available, and how to get in touch with your admin to request one.No licenses are currently available:
You’ll get a message that there are no licenses left. You’ll need to contact your admin to request access.Robin doesn’t know the license status yet:
You’ll be informed that no license is currently linked to your account. The pop-up will explain how to request access.
When an admin assigns or revokes a license
An admin assigns you a license:
You’ll get a pop-up and an email with all the info you need to log in.An admin revokes your license:
You’ll receive a pop-up and an email explaining the change and your next steps.
Logging in with an expired license
Robin will notify you that your license has expired. You’ll then be given three options:
Log in with a different account that has an active subscription
Contact your admin to request a new license
Renew the subscription on the current account
For Robin Admins
You have an active Indeed account:
You’ll get a pop-up and an email explaining the license status and how to use the new admin panel functionality.You have an inactive account:
You’ll receive a message with steps on how to activate the account or assign a license.You’re not logged into Robin yet:
The next time you log in, you’ll get a notification showing your current license status and available options.
Please Note
Expired subscriptions:
If you try to log in with an expired account, you’ll be notified and given options like logging in with another account or renewing the subscription.No active subscriptions available:
You’ll see a message that no active subscriptions are currently available. Please contact your admin to request access to a license.
