Do I always need an active job on Indeed to send messages?
Yes, that’s correct! Only active, live jobs can be linked in Robin. If a job isn’t visible on Indeed, we can’t retrieve it – which means you won’t be able to send a message through that channel either.

Do I need to create a job directly in Indeed?
Yes. Jobs must be created directly on Indeed. At the moment, there’s no alternative way to add a job for messaging via Indeed in Robin.

Why can’t I reach out to a candidate again within 30 days?
That’s due to Indeed’s guidelines. You’re only allowed to contact a candidate once every 30 days. Robin enforces this automatically – so you don’t have to worry about accidentally breaking the rules.

Can multiple users work from one inbox with a single Indeed license?
You can add multiple users under one account, but not under one license. Each user needs their own license to contact candidates through Indeed. All replies will still land in the shared inbox.

Can subaccounts use jobs and credits from a main account?
Yes, but only if the subaccount also has a valid license. Without a license, the subaccount won’t be able to use jobs or send messages via Indeed.

Can I add a link in my message to a job that’s not live on Indeed?
Unfortunately not. Only live jobs on Indeed can be used with Robin and will appear in the message window.

What does the “Default” option mean when sending a message in Robin?
The “Default” option refers to the project you’re currently logged into on Indeed. If you’ve created multiple projects or teams, the default one will be used to send the message – unless you manually select a different one.

Why do I get an error when I’ve contacted a candidate before?
That message comes from Indeed. Candidates can only receive one message every 30 days. Robin automatically takes this into account.

Will AI messaging in Robin also follow Indeed’s rules?
Absolutely! Our AI features always follow the guidelines of the job boards we work with. That includes linked jobs and message content that’s relevant to the position.

Is it possible to send an Indeed message through Robin without linking a vacancy?

Yes, it is! A project is required, but a vacancy is not. Just keep in mind: if you don’t link a vacancy, the message will still be treated as a vacancy inside Robin.
