Want to find candidates via Indeed within the Robin app? To ensure a fair and smooth process, Robin uses a licensing system. This article explains how to gain access and how licenses are managed.

πŸš€ How it works

The system is based on the available licenses within your organization. A license is simply an Indeed account with an active paid subscription.

  • First-Come, First-Served: The first user to log into an available Indeed account using the extension will automatically be assigned that license.

  • Automatic Recognition: Robin instantly detects if an account has an active subscription. If the subscription has ended, the license is marked as 'Expired'.

βš™οΈ Configuration

To use the integration successfully, a few settings are required:

  • Browser Extension: You need the Robin browser extension to synchronize the status of your Indeed account.

  • Admin Assignment: Although it's 'first-come, first-served', an Admin can manually assign licenses to specific colleagues or unassign them in the admin panel.

  • Syncing: Has a subscription been renewed? Log into Indeed once via the extension to update the status in Robin.

✨ Output & user experience

Once linked, you can source candidates on Indeed directly from Robin. You can see exactly which Indeed account is linked to you in your profile. If there are changes to your license status (e.g., if an admin assigns a license to you), you’ll receive an instant pop-up in the app and a confirmation email. You’ll never have to guess if your connection is still active!

  • No internal request tool: You cannot request a new license inside Robin. You’ll need to do this through your internal channels (Slack/email) by contacting your admin.

  • One account per license: A license can only be linked to one Robin user at a time.

  • Expired status: If your account is set to 'Expired', the data import stops immediately until the subscription is renewed or you receive a different license.

❓ FAQ

I see the message 'No licenses available', what now? This means all active Indeed accounts in your team are already taken. Ask your admin if an account can be freed up or if an additional license is needed.

My Indeed subscription was renewed, but Robin says 'Expired'? Don't panic! Robin just needs a little nudge. Simply log back into Indeed with the Robin extension active, and the status will turn green again. 🟒

Can an admin just take my license away? Yes, administrators can redistribute licenses if needed for team capacity. You will always receive a notification when this happens.
