Interview Planner setup and usage Guide

When the Interview Planner is not visible or not working correctly, it’s usually because the email or calendar connection hasn’t been fully configured yet. This guide walks you through activating, setting up, and using the scheduler step by step.

What does this give you?

By scheduling interviews directly through Recruit Robin:

  • You work faster because you no longer need to switch between different systems.

  • You avoid mistakes such as double bookings or incorrect time slots.

  • You always have a complete overview of all scheduled interviews in one central place.

  • Candidates automatically receive updates, reducing the amount of manual communication you need to do.

  • Candidates are automatically moved to the correct stage, keeping your pipeline consistently up to date.

1. Requirements: connect your email before connecting your calendar

Before you can connect your calendar, you must first connect your email address to Robin.

Important: The email address you use in Robin must be the same as the email address of the calendar you want to connect.

If you use a different email address in Robin than in Google/Microsoft, update this first.

2. Connect your calendar

This is only required if it has not been set up before; otherwise, you can proceed directly to step 3.

Once your email is connected:

  • Go to Calendar Settings.

  • Select your calendar provider (Google or Microsoft).

  • Follow the steps to grant access.

  • You will see a success message once the connection is complete.

  • Robin will then confirm that your calendar is actively connected.

From this moment on, the Interview Scheduler becomes visible.

3. Open the Planner Editor

After connecting your calendar, click Open Settings. Here you can configure your interview settings.

4. Basic interview settings

In the Planner Editor, you can fully customize the default interview:

You can configure:

  • Interview title

  • Event duration (Default: 45 minutes + 15‑minute buffer)

  • Interview location

    • Teams or Google Meet is selected automatically based on your calendar

    • For in‑person meetings, you must enter the address manually

  • Description Add extra information for candidates or colleagues

5. Availability settings

After saving, you can edit additional options:

  • Availability

  • Which calendar bookings should be added to

  • Which calendar is used to check availability

  • Your fixed availability per day and time slot

  • Exceptions or blocked times

6. Participants

You can add colleagues to the interview:

  • Add additional participants

  • Adjust their availability

  • Robin takes everyone’s calendar into account

7. Booking options

Here you can configure how candidates can book appointments:

Options:

  • Redirect page After confirmation, you can redirect candidates to your company website.

  • Buffer times Set buffer time before and after the interview.

  • Number of bookings Maximum number of interviews per day or per period.

  • Booking limit in the future How far in advance candidates can schedule.

  • Cancellation rules

    • Minimum time before cancellation

    • Customize the cancellation message

  • Time slots Automatically generated based on the interview duration.

Additional options:

  • Allow candidates to invite extra guests

  • Hide rescheduling

  • Hide cancellation

8. Communication settings

"Please note: this section is only available if the customer has purchased this additional module."

Here you can adjust communication sent to candidates:

Company logo

  • Add a logo via a public URL

  • The logo appears in the confirmation email

  • Max size: 200 × 100 px

Email settings

  • Adjust the email title

  • Add additional information for candidates

Page styles

  • The scheduling page uses your username as the default page name

  • This name appears in the top-left corner of the calendar view

9. Provide feedback

The small flag icon at the bottom left of the Interview Scheduler does not send feedback to Robin.
