Once you've spoken to a candidate and there's a match, you want to finalize the interview as quickly as possible. This article explains how to use the Interview Planner during your daily activities.

π‘ What & Why
Scheduling interviews directly through Robin helps you work faster and prevents errors. The biggest advantage? As soon as you book the appointment, the candidate is automatically moved to the 'Matched' stage, and both your calendar and the candidate's are updated instantly.

βοΈ How it works (Step-by-Step)
1. Call the candidate first The option to schedule an interview only appears after you have had telephone contact.
Start the call via Robin.
After finishing the call, the 'Schedule Interview' button will automatically appear.

β2. Choose the interview type You usually have three standard options:
Video call (e.g., via Teams or Google Meet)
Introduction on-site (physical)
Telephone interview

3. Select date and time
After your choice, the planner opens. Here you will see your own availability (synchronized with your Outlook or Google calendar). Choose a time that works for both you and the candidate.
4. Check details
A summary will be displayed. Double-check the details:
Candidate's contact information.
The job title.
Any additional attendees (colleagues)..
5. Confirm (Book now) Click on 'Book now'. At that moment, the following happens:
The appointment is added to both calendars.
The candidate is moved to 'Matched' in Robin (and your ATS).
Everyone receives a confirmation email with the details and (if applicable) the video link.
π Results & User Experience
Self-service: The candidate can also choose a time slot themselves; this saves you the back-and-forth calls to find a suitable time.
Flexibility: Does an appointment need to be rescheduled? This can easily be done via the link in the confirmation email. The change is automatically updated everywhere.
β οΈ Limitations
Call first: You cannot schedule an interview for a candidate you haven't tried to reach via the platform yet.
