How to Use the Interview Planner

With the new interview feature, you can easily schedule an in‑person meeting or phone call with a candidate. Below you’ll find a step‑by‑step explanation of how it works.

What this gives you

By scheduling interviews directly through Recruit Robin, you benefit from:

  • Faster workflows, without switching between tools or calendars.

  • Fewer mistakes, such as double bookings or incorrect times.

  • Clear overview of all upcoming interviews in one central place.

  • Automatic updates for the candidate, reducing manual communication.

  • Automatic movement to the correct pipeline stage, keeping your process clean and organised.

Easy rescheduling or cancellation, without extra steps.

1. Call the candidate first

Before you can schedule an interview, you need to call the candidate. During this call, you agree on the type of interview and a suitable time.

Once the call is completed, the option Schedule interview will automatically appear.


2. Choose the interview type

You can choose between two options:

  • In‑person meeting at the office

  • Phone call about the vacancy

Select the correct option and fill in the required details. Then click Next.

3. Select a date and time

After saving, a calendar will open. This calendar is connected to your personal agenda.

Choose a date and time that works for you.

4. Review the interview summary

You will now see an overview of the interview. Here you can edit details such as:

  • Candidate’s name

  • Email address

  • Phone number

  • Job title

  • Additional attendees

Make sure everything is correct before continuing.

5. Click ‘Book now’

When you click Book now:

  • The interview is scheduled

  • The candidate automatically moves to the Matched stage

  • You receive a confirmation with all details

  • You can reschedule or cancel the booking from the confirmation

  • The candidate receives the same confirmation

6. Rescheduling or cancelling an interview

In the confirmation you receive, you can:

  • Reschedule the interview

  • Cancel the interview

The candidate will automatically receive an update as well.
