The RJ Communication Agent is your personal outreach assistant. Instead of manual follow-ups, Robin Jr. (our AI) sends a personalized message and manages the entire sequence automatically. This saves significant time and ensures no candidate is overlooked during the process.
⚙️ How it works
Once activated, the candidate enters an automated pipeline. The AI generates a unique message based on the job vacancy and the candidate's profile. After the initial send, the system tracks progress: it sends reminders if there is no response and terminates the sequence as soon as a candidate responds or indicates they are not interested.
🛠️ Configuration (Step-by-Step)
Launch the Wizard: Click the RJ button on the candidate card to activate the agent.
Select a Job: Choose the relevant vacancy. Robin performs an immediate quality check to ensure sufficient information is available for the AI.
Set Options: * Review the personalized email (you can disable this step for future runs via the checkbox).
Review the qualification questions and any calendar connections for automated interview scheduling.
Confirm: Click 'Confirm and Start' to activate the pipeline.
🚀 Output & User Experience
Pipeline Status: The candidate is immediately moved to the 'Contacted' tab. The current status (e.g., "Sent first follow-up") is displayed on the candidate card.
Interaction: If a candidate responds positively, you will receive an immediate notification. If the calendar function is enabled, the candidate can even schedule a meeting directly without your intervention.
Pause: You can pause the automation at any time via the card to perform manual actions.
⚠️ Known Limitations
Channel: The agent currently works exclusively via email; WhatsApp support is not yet available within the wizard.
Inactivity: If a candidate has not responded to the full sequence after 14 days, the pipeline expires automatically.
Indeed: Vacancies imported directly from Indeed are not compatible with this agent.
Availability: The button only appears if the candidate has a valid email address and is not in 'Matched' or 'Hidden' status.
❓ FAQ
Do I need to write the message myself? No, Robin Jr. generates it automatically, but you always have the option to edit it before sending.
What happens if I pause the pipeline? Scheduled reminders are temporarily suspended. Upon resumption, the system calculates whether any missed follow-ups need to be sent.
Does the candidate know it's AI? The messages are highly personalized and based on specific profile details, maintaining a high-quality candidate experience.
Can I skip the preview steps? Yes, by checking the "Don't show again" options at the bottom of the wizard, you can speed up the process for future candidates.
