π‘ What & Why
Not every vacancy is directly available in an ATS or on a website. This feature ensures that you can also use 'offline' vacancies for:
Generating personalized AI messages.
Accurately matching candidates based on specific job requirements.
Organized management of all your assignments within Robin.
β
βοΈ How it works
You add a vacancy at the moment you want to approach a candidate. The AI analyzes the text you enter and converts it into a structured job profile.
β
π οΈ Configuration: Step-by-Step
Follow these steps to add a vacancy manually:
Select a candidate: Go to your search and click on a candidate you want to approach.
Open the wizard: Click on the button for Email, WhatsApp, or the Robin Jr. Agent.
Find a similar vacancy
Search for a vacancy that closely matches the role you want to enter. Open it by clicking the pencil icon.
Add Vacancy: In the selection menu, click 'Add vacancy' and then choose 'Add text'.
Paste Text: Enter the job title and the text of the vacancy. Then click 'Process vacancy'.
Review: The AI extracts the most important requirements from the text. Check if the job information and preferences are correct and adjust them where necessary.
Job Preview: Click 'Job preview' to see how the vacancy will be presented to the candidate.
Save: When everything is correct, click 'Save'. You will now find this vacancy under the 'Your vacancies' tab.
β
βπ Output & User Experience
Once the vacancy is saved, Robin Jr. can immediately start writing a personalized message. The vacancy is now also available for other candidates within the same search, so you don't have to re-enter the text every time.
β οΈ The limits
Quality Check: If the text is too short (e.g., only a job title), you will see a 'low quality' warning. Add more details about the requirements and responsibilities to allow the AI to do its job.
Visibility: Don't see the Robin Jr. option? Refresh the page. If the button still doesn't appear, you may not have access to this module yet. In that case, contact support.
β FAQ
Can I edit a manual vacancy later? Yes, you can click the pencil icon in the 'Vacancies' menu to change the text or requirements.
Do I have to do this for every candidate? No, once saved, the vacancy is stored in your account.
What is the difference with an ATS import? With a manual vacancy, you paste the text yourself; with an ATS import, Robin automatically retrieves the data from your own recruitment system.
