You don't want to waste time manually typing over data. That’s why Robin ensures every interested candidate is sent directly to your own system (ATS). This way, you never miss a match and your database stays up to date without you having to lift a finger.

Robin recognizes the intent of a message. As soon as our AI detects a positive or neutral response (e.g., a candidate asking a specific question), a signal is sent to your ATS in the background. The candidate is immediately created as a new profile or linked to the relevant job.

Note: This can only be performed by an admin.

  1. Open Settings: Click the gear icon (Settings) > ATS.

  2. Set Status: Click the blue pencil icon next to your active integration.

  3. Choose Stage: Select the status candidates should receive (e.g., "New").

    • Carerix users: The status is managed via the Robin app in the Carerix Marketplace. Changes there are automatically synced.

  4. Job Linking: Ensure an ATS Job ID is linked to your Robin campaign. Without this ID, Robin won't know which vacancy to assign the candidate to.

  • Complete Profile: Robin doesn't just send the name; it also includes (if available) the CV, contact details, source information, and answers to any qualification questions.

  • Context: Even the first message you sent to the candidate is often added as a note, so you know exactly what the conversation was about.

  • Speed: You don't have to wait; synchronization happens almost immediately after the candidate responds.

⚠️ The limits

  • Supported systems: This automatic push currently works for OTYS, Carerix, Tigris, and MySolution.

  • Intent: Candidates who explicitly state they are not interested are not pushed to your ATS to prevent database clutter.

  • Data: Robin can only forward data that is actually present on the candidate's profile or shared via chat.

  • Disable: Want to deactivate this feature entirely at the account level? Contact your Customer Success Manager.

❓ FAQ

  • Is a candidate added if they only ask a question? Yes! Even with a neutral reaction (like a question about salary), we add the candidate because there is active interaction.

  • Does this also work for LinkedIn? No, currently the automatic push only works for email replies and the "Interest button." LinkedIn responses still need to be processed manually.

  • What if the candidate is already in my ATS? Most integrations recognize duplicate profiles based on email address or phone number and will automatically add the new information to the existing profile.

  • What if a push fails? Robin logs errors internally. If you notice that candidates are not appearing in your system, please contact our support team.

  • Can I change the status per job? No, the status chosen in settings currently applies to all candidates entering your ATS through Robin.
